Getting started
What is Fudbalba?
An app for a football club and its youth academy. In one place you have:
- the training and match calendar, and who is coming
- teams, players and parents
- team, parents and staff chat
- coach notes, match results and a tactics board
- membership fees, FA registration and medical exams
- player availability and health
Everyone only sees what concerns them: a parent sees their child, a coach their teams, the admin the whole club.
How do I register a club? For the club admin
On the home page click Register club. Enter the club name, your name, email and a password (at least 10 characters).
You become the club admin. Payments, invoices and important club mail will go to your email, so use a real address.
Then you choose a plan (monthly or yearly) and enter a card on Stripe's page. The first 15 days are free.
What should I do first after registering? For the club admin
The Club page has a First steps card that walks you through five steps:
- create a team (e.g. U13 or First team)
- add players to it
- add a coach
- create logins for parents
- schedule the first training
The card disappears once everything is done.
Which roles are there and who sees what?
- Club admin: the whole club, teams, logins, fees and settings. Can always do everything.
- Sporting director: all teams, notes, tactics and records (without recording payments).
- Medical staff: player availability and medical notes.
- Head and assistant coach: their teams, calendar, attendance, notes, tactics and player and parent logins.
- Team manager: attendance, results and notes.
- Player and parent: calendar, replies, chat and whatever the coach shares.
The admin can set what each coach or manager may do (see "How do I set what a coach may do?").
Is there a phone app?
Fudbalba runs in the browser (Safari, Chrome…) on phones and computers, so there is nothing to install. On a phone the main sections are in the tabs at the bottom; everything else is under More.
To keep it on your home screen like an app: open the page in the browser and choose Share → Add to Home Screen (iPhone) or ⋮ → Add to Home screen (Android).
Where do I see notifications? Does the app send email or SMS?
Everything the club sends is in the app: notifications are under the bell (the number shows new ones), and messages are in Chat. You get a notification when a session is added, moved or cancelled, when a coach shares a note or a tactics board with you, and so on.
For now the app sends no email, SMS or push messages, so open it now and then.
What is the team picker at the top of the menu?
If you are in several teams (e.g. you coach two, or have two children), you pick one team or All teams at the top of the menu. The calendar, team and other pages then show only that choice. The app remembers it.
I'm in two clubs. Do I need two logins?
No. One login can belong to several clubs (e.g. a coach who also helps another club). Switch clubs in the menu where the club name is (on a phone under More).
Calendar and replies
How do I say whether my child is coming to training or a match? For parents and players
In the Calendar open the session and under Coming? choose Going, Maybe or Can't. A parent answers for each child separately; a player with their own login answers for themselves.
The coach sees replies straight away. You can change your answer until the session starts. Cancelled sessions take no replies.
Why can't I change my reply? For parents and players
Replies close when the session starts, and cancelled sessions take no replies. If something changed at the last minute, tell the coach in Chat (parents write in the Parents chat).
How do I find out a training was moved or cancelled? For parents and players
You get a notification under the bell, often with a note from the coach (e.g. "We start 30 minutes later"). In the Calendar a cancelled session is marked Cancelled and a moved one shows the new time.
How do I schedule a training, match or meeting? For coaches and staff
In the Calendar click New event. Choose the type (training, match, meeting), team, title, date, start, duration and place. For a match enter the opponent, e.g. "FK Vitez (away)".
After Create, players and parents see it straight away and can reply whether they are coming.
How do I create weekly repeating trainings? For coaches and staff
In the New event form, under Repeat choose the weekdays (e.g. Tuesday and Thursday) and an Until date. The app shows how many sessions this makes and when the last one is.
A series can have at most 200 sessions and last at most a year. Each session can later be edited or cancelled on its own.
How do I move or cancel a training or match? For coaches and staff
Open the session and click Edit to change time, place or title. You can add an explanation in Message to players and parents.
To cancel, click Cancel event and optionally give a reason (e.g. "The pitch is closed"). If it goes ahead after all, click Take place after all.
Players and parents get an in-app notification either way.
Where do I see who is coming? For coaches and staff
In the Calendar every session shows how many players are coming and how many haven't replied. When you open the session, Who is coming and attendance lists every player with their reply (Going, Maybe, Can't or No reply).
How do I record attendance at training? For coaches and staff
Open the training. Under Who is coming and attendance players are already marked from their replies. After training set each one to Present, Late or Absent and click Save attendance.
You can still correct it later. Coaches and the team manager record it.
What does the "pitch already taken" warning mean? For coaches and staff
If another team already has a session at the same place (and the same part of it, e.g. "side pitch") at the same time, the session form shows it before saving, for every date of a series too. You can still save, but the coaches should agree on a change.
So always write the place the same way, e.g. "City stadium, side pitch".
What is the Club week? For coaches and staffFor the club admin
Club week shows every session of the week, grouped by age group. The admin and sporting director see the whole club and every pitch clash; a coach sees their teams and the other teams of the same age group.
Teams and players
How do I add a player to a team? For coaches and staffFor the club admin
Open Team, pick the team and click Add player. Enter first and last name, and optionally date of birth, position, shirt number and phone (if the player has their own).
A player doesn't need a login to be in the team. You can create one for them or a parent later.
How do I remove a player from a team? For coaches and staffFor the club admin
In Team open the player and choose Remove from team. The player leaves the roster, but earlier records (attendance, results) and their login stay. If they move to another team, add them there.
What do players and parents see of the team? For parents and players
Players and parents see the roster (first name, initial of the last name and shirt number) and the staff. Phone numbers, dates of birth, parents and health status are for the staff only.
How do I create a new team? For the club admin
On the Club page click New team. Enter a name (e.g. U12 or First team), choose the section Youth academy or Seniors, and the age group.
Every team gets three chats: team, parents and staff. For academy teams the team chat opens once two adults are in the team.
How do I add a coach or manager to a team? For the club admin
In Team pick the team, open Staff and click Add coach, or go to Users and passwords → Coach / staff. Choose the role (head coach, assistant coach, team manager), enter the name, an email or username and a password.
What they may do is already ticked for that role; change it if you want. Then hand the login details to the person.
How do I remove a coach from a team? For the club admin
In Team → Staff click the remove icon next to the coach and confirm. Their role in that team ends; their earlier notes and entries stay. A club must always keep at least one admin.
Logins and passwords
How do I create a login for a parent? For coaches and staffFor the club admin
In Team → Parents click Add parent next to the player, or go to Users and passwords → Parent. Enter the parent's name and an email or username; the password is generated for you.
After Create login click Copy and hand the details to the parent in person or by message. They can change the password later in Settings.
A parent has two children in the club. Do they need a second login? For coaches and staffFor the club admin
No. In Add parent choose Already has a login (sibling), enter the email or username the parent already uses and click Link the child. The parent keeps the same password and sees both children.
This also works for a coach or player who is also a parent.
How do I create a login for a player? For coaches and staffFor the club admin
In Logins & passwords click Create login next to a player without one, or choose Player in the New login form. A player with their own login replies for themselves, writes in the team chat and sees what the coach shares.
For younger children the parent's login is enough.
What if someone has no email?
Instead of an email enter a username, e.g. amra.kurtovic: 3 to 40 lowercase letters, digits, dots or dashes, no @. The person signs in with that name and the password.
Only the club admin must sign in with a real email.
I forgot my password. How do I get a new one?
Ask your coach or the club admin. In Logins & passwords they click New password next to your name, set a new one and give it to you. The old password stops working.
Password reset by email doesn't exist yet. It's coming.
How do I change my password?
Go to Settings → Change password, enter your current and new password (at least 10 characters) and click Change password. Other devices you were signed in on are signed out.
Who can create logins and set new passwords? For coaches and staffFor the club admin
- Club admin: everyone, including coaches and other staff.
- Coaches (and anyone with the right "Player and parent logins"): players and parents of their teams.
If a login is also used in another club, only its owner can change the password. Everyone changes their own password in Settings.
I can't sign in.
- Check the email or username (upper or lower case doesn't matter) and the password.
- After too many attempts wait a minute and try again.
- "Your account is not in any club yet" means the club hasn't added you yet. Ask your coach.
- If you don't know the password, a coach or the admin can set a new one.
Chat
Which chats are there and who writes in them?
Every team has three chats:
- Team: players and staff. Parents can read it but not write.
- Parents: parents and staff.
- Staff: coaches and club admins only.
The club admin can write in every chat.
Why can't I write in an academy team chat?
To protect children, two rules apply to academy team chats:
- it only opens once the team has two adults (e.g. a coach and a manager or assistant)
- during quiet hours (usually 21:00 to 7:00) adults can't post in it until the morning
How do I pin, remove or report a message?
Tap the message:
- Pin (staff): the message stays at the top of the chat.
- Remove: you can remove your own message.
- Report: pick a reason. The club admin sees the reported message on the Club page and decides whether to hide it.
Notes and results
How do I write a note about a training or match? For coaches and staff
Open the training, match or meeting in the Calendar and under Notes click Note, or on the Notes page click New note for a free note.
A note has a title, text, short remarks About players and Tasks. Only the author and the club admin can change it.
How do tasks in notes work? For coaches and staff
In a note add a Task, pick who does it and a due date (e.g. "Book the bus for Saturday"). On Notes → Tasks you find My tasks and Open tasks in the team; tick a task when it's done.
Where do I see what the coach wrote for me or my child? For parents and players
The Notes page (on a phone under More) has everything coaches shared with you: notes from trainings and matches and remarks about your child. When a coach shares something, you get a notification under the bell.
How do I enter a match result? For coaches and staff
Open the match and click Enter result. Enter the score, then Goal (scorer, assist, minute) and Card (yellow or red). A goal without a scorer is an opponent's own goal.
Everyone in the team sees the result, scorers and cards; the score shows in the calendar, and goals and assists add up in each player's season.
Where do I see one player's goals, assists and remarks? For coaches and staff
On Notes → By player pick the team and player. You see matches with a report, goals, assists and cards this season, and every staff remark about that player.
Tactics board
How do I draw a tactic or a drill? For coaches and staff
Open Tactics and click New board (for a match) or New drill (for training). On the board:
- move players and the ball with Move; Formation places them all at once
- draw Pass, Run, Dribble, Shot, Curve, Line, zones and text
- Equipment has cones, discs, poles, mannequins, mini goals, ladders and hurdles
- Set pieces has ready-made corners and free kicks
When done click Save.
How do I animate a tactics board or download a picture of it?For coaches and staff
Click + Frame: the current frame is copied as the next step. Move players and the ball, add more frames and click Play; set the speed with the slider.
Image downloads the current frame as a PNG, and Video records the animation and downloads it, e.g. to send to players.
The coach sent me a tactics board. Where is it?For parents and players
Open Tactics in the menu (on a phone under More). It lists every board the coach shared with you; open one and click Play for the animation. The Tactics menu item only appears once a coach has shared something with you.
What if I close a board without saving? For coaches and staff
Changes are kept as a draft in this browser. When you open the board again the app restores them ("Your unsaved changes from last time are back"), or you can Discard changes. The browser also asks before closing if you haven't saved.
The draft only exists on that device, so click Save before switching to another one.
Fees and records
How do I set up membership fees? For the club admin
Open Fees and records → Fee settings. There you choose the currency and how many months a medical exam is valid, and under Fee per team the period (Monthly, Half-yearly, Yearly) and amount for each team.
Fees are never owed backwards: they count from the day the fee was set up or the day the player joined the club, whichever is later.
How do I record a fee payment? For the club admin
In Fees and records open the team, the Membership fee tab, and click Mark as paid for the player. Enter the amount, payment date, method (cash, bank, other) and optionally a note. Fix a mistake with Undo.
The filters Not paid this period and Behind show who still owes. The club admin records payments.
How do I give a discount or exempt a player from fees? For the club admin
In the team's fee list open the player and under Fee for this player choose Standard, Own amount or Exempt, give a reason (e.g. "second child discount") and click Save fee.
What does a coach see in fees? For coaches and staff
A coach sees the teams of their age group: who has paid this period, FA registration and medical exams. Amounts and payments are kept by the club admin, so coaches don't see them.
The admin can turn this on or off per coach (the right "Fees and records (view)").
How do I mark FA registration and the medical exam? For coaches and staffFor the club admin
In Fees and records open the team, the Registration & health exam tab, and for the player:
- tick Registered with the FA and optionally enter the registration number
- enter the Date of the exam; an exam is valid for the configured number of months (usually 6)
Statuses show Valid, Expires soon, Expired or Not done. Only the exam date is kept, never results.
Can I as a parent see whether the fee is paid? For parents and players
Not yet: fees are kept by the club admin and coaches. If you're not sure your payment was recorded, ask the coach or the club admin.
Health
How do I mark a player as injured? For coaches and staffFor the club admin
The club's medical staff do this on the Player health page: status (available, limited, injured / unavailable), until when, a Note for coaches (e.g. "no contact for two weeks") and, if needed, a medical note.
Coaches see the status and note in the team roster. If the club has no medical staff, the admin can give someone the medical staff role.
Who sees my child's health information?
Medical notes are seen only by the club's medical staff. Coaches see only the status (available, limited, injured) and the note for coaches. For medical exams only the date is kept, never results.
Running the club
How do I set what a coach or manager may do?For the club admin
In Logins & passwords click What they may do next to the person. Tick what they may do in their teams:
- Calendar and roster (edit)
- Attendance and match report
- Notes
- Tactics board
- Fees and records (view)
- Registration and medical exams (mark)
- Player and parent logins
Quick pick (Everything, Like a team manager, Nothing) sets the ticks at once. Someone with changed rights shows the tag own rights, and Back to the role's default undoes it. You choose the same ticks when creating a login. The club admin can always do everything.
How do I switch off a part of the app the club doesn't use?For the club admin
On the Club page, under Parts of the app, switch off what you don't need: Fees and records, Health, Chat, Notes or Tactics board.
A switched-off part disappears from the menu for everyone, but nothing is deleted: switch it back on and all the data is there.
How do I set the club crest and colours? For the club admin
On the Club page choose Crest & colours. Upload the crest (PNG, JPG, WebP or SVG up to 512 KB; a square one on a transparent background looks best) and pick a main and second colour, or click Take colours from the crest. The change applies to everyone at once.
Where do I see who changed what? For the club admin
On Club → Activity log are the latest changes in the club: who created a login, changed a password or rights, cancelled a session and so on.
Can a club have several admins? For the club admin
Yes. In Users and passwords → New login → Coach / staff choose the role club admin. An admin always signs in with a real email.
A club must keep at least one admin with an email, so the last one can't be removed.
Subscription
How much does Fudbalba cost?
The club pays the subscription, not parents or players:
- 49 € a month, or
- 529.20 € a year (10% off, you save 58.80 €).
The price is the same however many teams, players and logins you have. The first 15 days are free.
How do the 15 free days work? For the club admin
When registering you choose a plan and enter a card on Stripe's page. Nothing is charged for the first 15 days.
Three days before the end you get a notice in the app. On day 15 Stripe charges the first amount, unless you cancel before then in Subscription. The free days are given once per club.
How do I cancel the subscription? For the club admin
Open Subscription in the menu (on a phone under More) and click Cancel subscription. Stripe's page opens where you confirm.
The club keeps working until the end of the period already paid (or the free days) and nothing more is charged. If you change your mind, click Keep the subscription.
How do I switch plan, change the card or get invoices? For the club admin
In Subscription:
- Switch plan: from monthly to yearly or back (Stripe settles the difference)
- Change card
- Invoices and details: every invoice to download, the club's name, address and VAT number
It all opens on Stripe's page; Fudbalba never sees the card number.
Can I pay in dollars or another currency? For the club admin
The price is in euro. If you pay from another country, Stripe shows the amount converted into your currency (e.g. USD) and you can pay in it or in euro. You see the rate and amount before paying.
It says the club is paused. What now?
The club has no active subscription right now (it was cancelled or a payment failed). Until then the app is locked for everyone, and the club admin sees only Subscription.
When the admin renews it, everything works again. Nothing is deleted: teams, calendar, chat and records are kept.
If a payment fails, Stripe tries again and the club keeps working for 7 more days.
My account
How do I change the language?
In Settings choose Language: Bosnian, English or Czech. On the home page you pick the language at the top right (BS, EN, CS).
Who sees my phone number?
You enter it in Settings → My phone number. Only coaches and the club admin see it in the team list, so they can call you. You can also leave it empty.
How do I sign out?
On a computer click the sign-out icon next to your name at the bottom of the menu. On a phone go to More → Sign out.
Which cookies does Fudbalba use?
Only necessary ones: the sign-in cookie (ff_session), which keeps you signed in for 30 days or until you sign out, and Cloudflare's protection cookie. No tracking, analytics or advertising cookies, so we don't ask for consent.
It is all described on the Privacy and cookies page (fudbalba.app/en/privacy).
Is our data safe?
