WhatsApp group or club app: how to communicate with parents in a youth academy
Published · Anel Čeliković
Almost every team has a WhatsApp or Viber group. It works, until it grows. Here is when a group stops being enough and how to fix it without making life harder for parents.
What the group does well
It's fast, everyone already has it and nothing needs explaining. For a small team and short messages it is perfectly fine.
Where the group breaks
- An important message (training moved to 10:00) disappears under 40 messages and stickers.
- The coach doesn't know who has read it, so the same thing gets sent twice more.
- Counting who is coming from replies like “me”, “us too”, “Amar can't” takes longer than the session itself.
- Coaches and children share a group, messages arrive at midnight, and private numbers are visible to everyone.
Safeguarding is not a detail
Good practice in youth sport: adults don't message children one to one, every group with children has at least two adults, and there are quiet hours when nobody sends messages. In an ordinary group that depends only on people's goodwill.
Separate three things
- Announcements (schedule, cancellations, meetings, fees): one way, with a record of who has read them.
- Who is coming: one button per session, not messages.
- Conversation: a team or parents' chat, with clear rules.
How it works in Football First
In Football First the club has an announcements board that shows who has read each post, replies per session in the calendar, and a chat with rooms for the team, the parents and the staff, where youth teams always have at least two adults and quiet hours. Notifications can come to the phone too. Register your club and try it free for 15 days.
